Turn a reservation into a contract
From the confirmed reservation to the signed contract, electronically or on paper.
A rental always follows the same path in Autoria: reservation, optional quote, departure with the contract, then return and invoicing. The interface is in French; labels are quoted as they appear on screen.
Create and confirm the reservation
- In Réservations, click Nouvelle réservation, either from a vehicle or from a period.
- Pick the vehicle, the customer and the dates: the price is computed from the vehicle's rates. From a vehicle, the calendar shows each day's price including tax; highlighted days have a specific rate (season, weekend…). The Récapitulatif (summary) step breaks down the rates applied over the period and the Total TTC (total including tax).
- If the customer asks for it, generate the quote (Générer le devis) and send it (Envoyer le devis au client).
- When the customer agrees, click Confirmer la réservation.
A confirmed reservation can no longer be edited. If something changes, use Recalculer le prix (recompute the price) or cancel the reservation.
Record the departure (check-in)
On departure day, open the reservation and click Enregistrer (Check-in): you carry out the departure inspection, check the customer's information and collect the deposit. See Carry out departure and return inspections.
You can send the customer the check-in email from the reservation so they prepare their documents.
Sign the contract
The contract is generated from the reservation and your agency's terms and conditions. The accessories ticked during the departure inspection appear on it, with their daily price and their total excluding tax, followed by the total including tax of the rental and accessories (excluding the fiscal stamp): before signing, the customer sees what will be invoiced at settlement for the planned period. Click Valider et signer le contrat:
- Signer électroniquement (sign electronically): the customer signs on screen (tablet or phone), then you sign or co-sign with your saved signature;
- Marquer comme signé sur papier (mark as signed on paper): when the customer signed a printed copy. Then upload the scanned signed contract to keep and send it.

Tip: if something changes before signature, use Régénérer le contrat to produce an up-to-date version.
